Minutes of a Sub-Committee Meeting held

On Tuesday 6th April 2004 at

3 Vernon Avenue, Wilford

Welcome

 

JF introduced and welcomed everyone to the meeting. Pat Lister said she was also representing Anne Gerty and would report back to her the events of the evening. The idea for a Garden Trail was to try and involve the community in a joint event whilst raising funds for the Marie Curie Nurses. Those present were asked who would be opening their gardens; Glynis Storer said that as they were in the middle of some major building work she would join the scheme next year.  Anne Tribble said they were planning to move from the area but if they were still in residence their garden would be ‘open’.

It was mentioned that if anyone else volunteered or could be persuaded to join there was no time limit to entering the event.

Date of Event

 

A mutually agreed date of Sunday 27th June 2004 was agreed and the suggested time of opening 11.30 am – 4.00 pm.

Advertising

 

DB had several ideas for advertising and volunteered to take responsibility for organising the advertising with the Evening Post, etc and for placing on the web site. Roger Steel (absent) has offered to obtain Marie Curie literature, stickers and balloons and JF would contact him to see if posters were also supplied, if not DB would print the posters.

 

Several suggested areas for advertising posters to be placed, such as the Community Notice Boards, the libraries, in Wilford, West Bridgford and Ruddington and various local shops.

Insurance

 

Pat Lister had made enquiries about how we stood with regard to Insurance, and together with information received from Brian Hardy (absent) the following was ascertained. PL handed a telephone number of someone who had previously organised a garden trail at Willoughby on the Wolds and JF said she would contact her for any tips that may be helpful in our venture.

 

Providing we ask for a donation rather than making a fixed charge we are covered on our normal household insurance.  AF said he would telephone his insurers to confirm the position.

Donation

 

It was agreed that a ‘suggested’ donation of £2.00 per adult would be appropriate and to cover all the gardens visited. Children admitted free. Wherever the donation was made, a Marie Curie sticker to be issued and produced at each garden that was visited.

Refreshments

 

Refreshments would be available at 85, 87, 132 and 137 Main Road and 3 Vernon Avenue.

 

Prices:   Tea – 50p : Tea and Biscuit/Cake £1.00 : Soft Drinks based on purchase price.

DB to collect the soft drinks.

Tubs of ice cream would be available, cost dependent upon purchase price.

Most of those present volunteered to provide biscuits or cakes.

 

Expenses would be taken out of  the sale of refreshments and the remainder donated to Marie Curie

Sales Stall/Plant Stall

 

KC/BC and PL offered to have a book stall, VM would have a bric-a-brac table and perhaps some plants, JF a bric-a-brac and cake stall. 

Pete (a member of the Allotment Association) has offered to make hanging baskets for us to sell, (we would have to buy them in the first instance at cost). JF would contact him to see if he would have them on a sale/return basis. JF asked DB if it would be in order for the Association to fund the purchase of these items. However, If Pete wished to have his own stall then JR would accommodate him in her garden and there would be no outlay as Pete would be responsible for his own expenses but would make a donation towards Marie Curie Nurses.

 

JR to look into the possibility of using the tables from the Church Hall.
