Minutes of a Sub-Committee Meeting held

On Tuesday 8th June 2004 at

Advertising

 

DB asked if we had seen reports of the event as this has been well advertised in the local press and free papers including the West Bridgford free newsletter.  He will continue to ask for press announcements up to the weekend of the event.

 

DB has printed posters, which so far have been placed, by members of the sub-committee in various venues such as QMC, City Hospital, Moores Nurseries, Lady Bay, West Bridgford Library, Surgeries on Compton Acres. This week they will be placed at local retail outlets on Compton Acres and in Wilford.  They will be placed in various places in Ruddington and Gotham.  VM visited Cropwell Butler open gardens and advertised there.  2 posters will be placed in the Church Halls this week.

 

RS has asked us to include in the advertising, the Ferry Inn and teas in a riverside garden at 87 Main Road and other themed garden ideas.  However, the general opinion was that we were too close to opening and although the ideas submitted by RS were excellent it was too late to start thinking along these lines.  If we try this again next year then with more time it could be achieved.  Plus, of course, most of the posters were now in place.

 

 

ACTION

RS would like the gardens open until 5.00 pm or to state on the advertising literature those people willing to remain open until that time.  Again if the last entry is 4.00 pm then it will be 5.00 pm before they have finished the tour.  We were prepared to remain open until 5.00 pm but at that time the gates would be closed.  This was a unanimous decision.

 

Banners - this is in the hands of RS and JS-C but concern was shown at the cost of providing these.

 

Finger Boards - this was felt an unnecessary expense and if people had a map there would not be a problem with people finding their way around.

 

RS will supply A-frames for posters.

 

 

Police awareness and coning

 

JR was concerned about the problem of car parking and it was agreed to contact PC Nigel Brown and make him aware of the event.  KC offered to contact him.

On information supplied by RS there was a disclaimer printed on the programme and it was agreed that DB would put this on to the map.

Allotments

 

Gerry ??  from the Glebe Allotments was happy  that we should have the public walk through from the Coronation Allotments.  Again the question of insurance came up and who would be in charge of security.  JS-C would be approached on this subject.  DB would E-mail Gerry and let him know that he is on the Wilford Garden Trail.

Supplied from Marie Curie

 

Posters for the A-Frames

Banner, Balloons, Carrier Bags for sales tables, Daffodils, Collection Boxes, 'Die at Home' leaflets.  Will they supply stickers?  These are needed to show that payment has been made at one of the gardens.  JF will ask RS and if they do not will purchase some Sasco stickers.  RS has offered to purchase helium for the balloons.  Again it was felt no-one was qualified to handle this and as we were beginning to realise just how much manpower was required and very few volunteers available on the day it was suggested that each garden have the balloons and use them to advertise where the 'open gardens' were.

 

Because there were so few people, and most of us would be busy with visitors to their gardens, either showing visitors around, or supplying refreshments or selling crafts, plants etc there was not really anyone available to look after a Marie Curie table in the garden.  It was decided that a table will be set up on the Village Green.  A quick phone call to Brian Hardy (who, earlier had said "I will do anything on the day") and we soon had a very willing 'volunteer'.  His wife, Mary, also volunteered to make cakes etc.

 

Would there be anyone there to represent the Marie Curie Nurses?  JF would ask RS.

 

Maps would also be available at this point and hopefully the public will spread themselves around the various gardens rather than all start in one place.

 

If a garden seems to be in danger of being over-run then the public would be asked to consider moving to another garden, likewise with the refreshments.  If any problems arise, such as running out of supplies or maps Glynis Storer offered to be a 'runner' and supplied us with her mobile phone number.

Trestle Tables

 

JR telephoned Paul Wicks to see if the tables were available from the Church Hall, unfortunately there is a baptism that day and possibly there will not by any available.  Alternative sources were talked about and David Adams was suggested as the person who may be able to help.  Glynis Storer offered to have a word with David. (Notes after the Meeting:  David has suggested a name of someone who will be able to supply us with a table for the Marie Curie supplies. He is on holiday at the moment but I will contact him on his return).

 

Others will have to find whatever is available such as decorating tables, unless anyone has more information to offer.

Tombola

 

KC/BC have been busy organising a tombola and finding local firms to donate.  Boots have been very generous and provided well over 300 gifts.  Moores have provided four £5 gift vouchers and the Co-op are considering donating.

 

The tombola will be a 'winner every time' with tickets at £1 each.

 

After discussion about where the monies raised from the tombola should go, it was unanimously decided that the money should go to the Association Funds.  It was felt that the Garden Trail was originally meant to be a Community effort to raise funds for the benefit of the people of Wilford.

 

The tombola will carry a notice saying the money raised at this tombola will be donated to the Community Funds.  KC will make a list of people who have donated money or gifts and place it at the side of the tombola.  KC will also make a list of all the prizes and place a raffle ticket on the gift, the other half of ticket put in the drum.  KC will also locate a drum.

AF would get in touch with his insurers and circulate those concerned with the relevant information.

Monies

 

Val wanted to know what should happen to the money collected.  It was agreed that all money donated for the garden trail, money from the refreshments, after expenses have been taken out and donations from the people selling goods to go to the Marie Curie fund and taken to JF on the Sunday evening.  JF would hand over to SA (Treasurer) of the Wilford Community Group.  The tombola money would be given to SA for the Wilford Community Group funds.

 

 

Next Meeting

 

We would all meet at Val's, 75 Main Road, at 7.00 pm on Friday 25th June to walk around the garden trail - any problems arising from this could be sorted on the Saturday.

 

To finalise the event a meeting will be held at Kate and Brian's, 85 Main Road, on Tuesday 29th June at 7.00 pm.
