Minutes of a Sub-Committee Meeting held
on Monday 15th November at 7.30 pm
at Wilford Bowls and Social Club
Present:

Hardy volunteered to Chair the meeting and on a show of hands this was agreed.

Welcome Action
BH
opened by welcoming visitors and explaining to the group the purpose
of
the meeting and the aims the WCG hoped to achieve. In the first
instance
this evening is to gather information on the possibilities of
expanding
the successful Open Gardens Day held earlier this year and the
wish
to have further involvement from the various groups within the
community.
Invitations had been extended to the schools, who although
unable
to be here had expressed an interest in what we are trying to achieve.

Possible Dates
After
discussion, and taking into account that we have the free usage of
a
marquee at Gleeds, Sunday 26th June was the unanimous decision as
being
the most convenient date to those present.
4.
Possible Charities
BH/SA
explained that as previously the WCG Open Gardens Day
would
be raising money for charity, however, participating groups
would
only be asked for a donation. It was
necessary to agree the
charities
as soon as possible for advertising purposes and to encourage
the
community to take part as soon as possible in the arrangements. The charity
would
be agreed at the next sub-committee meeting but no later than January.

Suggestions/Ideas
The
History Society would like the Benjamin Carter Hall for a display DB/JB
of
artefacts and books about the history of Wilford. David Miller would
be
approached about organising a walking tour of Wilford in conjunction
with
quiz sheets.
BH
had seen a very successful scarecrow competition. This was thought
a
suitable idea for the children and Helen Lander was asked to take this HL
idea
to her committee as being suitable for the Rainbows, Brownies and
Guides
to be involved with. The schools also
to be approached and the
competition
divided into three age categories.
Depending on the numbers
participating
the scarecrows positioned through Wilford and onto the
allotments. JSC asked if Helen Lander would look into
having the HL
Brownies/Guides
doing a Maypole dance similar to the one they do at
Clifton. BH thought he had various clients who would
donate prizes.
SA
reported that the Scouts would probably do a car wash. SA
A
hanging basket/flower tub competition to involve households
and
businesses. JF said she would approach
the local shops. JF
Schools – a display by the hand bells group SA
Children Entertainers/Battleman SA
KC/BC would organise a raffle and would open their
home
to display a model railway. KC/BC
KC has already been in touch with Boots about raffle
prizes
and
providing she writes, before the end of January, stating the charity
they
will provide raffle prizes. KC

Gerty would report back to the allotment committee about AG
a
scarecrow competition and talk to Pete about providing plants
to
sell.
More
open gardens were essential and everyone to enquire and
encourage
more participation in this area. AG
would ask Hazel AG
Chapman
and her friend if they would open their gardens.

would contact this years’ participants. JF
JS-C
mentioned that David Rowe would open the Rectory garden.
David
Rowe would open the church and possibly trips up the tower. JS-C
Tony
Walker, Chairman of the Bowls section, (he was in the club
for
a committee meeting) was asked by SA if he would like to organise
a
‘tuition’ group, it could bring more members to the club. He said
he
would think about it.
Jenny
Black suggested we get a ‘celebrity’ to open the day. If we have
a
scarecrow competition and floral decorations we shall need judges etc.
Dora
Gillott suggested the two local TV gardeners.
Other suggestions
were
Dominic Heale or Nick Smith.
The
WI had no specific plans as yet but would more than likely be
running
a produce stall or refreshments. JF
would report to her
committee
with the confirmed date and ideas from this meeting.
Ideas
for the Marquee were presented such as a ceilidh or a Craft fair,
no
decision was made. It was felt that as
it had been offered we should
make
use of it, but as yet there were no costings and no volunteers to
organise
and run these events. However, JF would
write and confirm JF
that
we are interested and what other facilities are available, such as
toilets,
tables, chairs and ancillary equipment.
Depending
on how much involvement takes place with particular regard to
The area
around Gleeds and the crossroads, we shall have to inform the
police
about the event.
6.
Future participation
Those
present were willing to participate and attend future meetings
to carry
forward the proposals. BR said he would
be away on business
and
unable to help on the day, we assured him that there would probably
be a
need for his willing help prior to the day.
Action
JF
asked Helen Lander if the Guides would be prepared to help
with
refreshments in the private gardens or
church halls. HL
SA would
investigate Insurance and once we have a specific SA
Charity/charities
in mind SA would fill in forms nearer the time
for
a grant towards the cost of running the event.
